Work will be undertaken safely and will comply with current legislation and the Company rules for contractors.

  1. The contractor must inform PHD of upcoming or intended site visits(minimum 1 week) and detail what system is to be worked on and weather the visit is PPM related or quoted works.
  2. Any visits or works to be cancelled or delayed must be notified to our office and in particular our account manager in the office, giving as much notice as possible.
  3. All job reports following PPM or quoted works visits must be submitted to PHD Mechanical within 48 hrs and must state if remedial works are required.
  4. All job reports should detail what works have been undertaken and the location of these works. All job reports should contain photos/images of the assets or systems serviced where possible.
  5. Quotations for remedial works required should be issued to PHD mechanical within 2-3 days of each visit. Where sourcing of specific materials delays a quotation being issued PHD would expect a holding email to be sent stating what/why the quote is to be delayed. All quotations should contain the exact location including the floor/room and building where the defect was found.
  6. Quotations for remedial works should be as detailed as possible and itemised for materials and labour. Any system downtime or safety implications caused by remedial works should also be included.
  7. Where a system or asset is found to be defective PHD must be informed of any safety issues this may cause the site or client, and any interim steps or actions site may need to implement while the system is down to minimise the risks on site to occupants or to the building itself.
  8. Any defects or issues found on a site or system must be reported to PHD and the building manager before the engineer leaves site along with details of how the fault affects the building or its occupants.
  9. Any login details for assets/systems such as passwords or panel codes must be provided to the relevant PHD account manager so they may be stored on our system for reference. This should be done during mobilisation or first site visit.
  10. Logbooks for all fire systems should be issued and left on site where required.
